The company's HQ is in London, and they are now opening an Austin office and looking for the team's first two hires. With a reputation for ambitious, innovative, and high-quality projects delivered around the world, the business has grown organically, giving them a strong<br>working footprint in both the UK and the US.</p><p>The role: Event Manager</p><p><strong>Role Profile<br></strong>The Event Manager is responsible for delivering successful small to medium scale events; both independently, and as part of larger project teams that are led by a Senior member of the team. The role involves managing existing and new client relationships, handling new enquiries, supporting ongoing events, and developing product and venue knowledge across UK and international markets. You will also be expected to build relationships with both clients and suppliers.</p><p><strong>Key Responsibilities</strong></p><p><br>Event Enquiries / Logistics and Operations:</p><ul><li>Responsible for event enquiries - plan, organize, and manage time effectively to complete proposals for specific events and projects within agreed deadlines.</li><li>Assist with preparing presentations and pitches on behalf of the company when required.</li><li>Manage and lead small to medium-scale events, including conducting inspections and onsite management.</li><li>Lead the planning and execution of a specific area of a large-scale event, whilst maintaining operational efficiency and regular communication with the project lead.</li><li>Responsible for Event Management - support the planning and management of suppliers to achieve the successful completion of specific events & projects and working collaboratively as part of a wider team.</li><li>Manage and oversee a small project team of Project Executives, Senior Project Executives and/or Freelancers to ensure effective delivery.</li></ul><p>Post-Event Evaluation:</p><ul><li>Conduct post-event evaluations to assess success and areas for improvement.</li><li>Gather feedback from clients, attendees, and team members to inform future events.</li><li>Prepare comprehensive reports summarizing event outcomes, including financial performance and client satisfaction.</li></ul><p>Client and Stakeholders Relations:</p><ul><li>Maintain and develop excellent working relationships with key partners including clients, suppliers and partner companies.</li><li>Build strong client relationships to encourage repeat business and long-term partnerships.</li><li>Use commercial judgement to make informed decisions and ensure you are getting the best for your client and the company.</li></ul><p>Supplier and Vendor Management:</p><ul><li>Responsible for sourcing, contracting and managing venues, hotels and other suppliers.</li><li>Maintain a good relationship with suppliers and continue to develop them.</li><li>Liaise with DMC and coordinate ground program management, including offsite venues, transport and related logistics.</li><li>Responsible for offsite venue and entertainment selection, including theming and design.</li><li>Responsible for researching and assisting in the booking of flights as and when required.</li><li>Responsible for creating, building and managing delegate registration websites on Cvent and managing event inboxes.</li></ul><p>Finance Management:</p><ul><li>Responsible for monitoring and maintaining budgets for your events.</li><li>Manage financial control by invoicing clients, maintaining cash flow documents, managing supplier invoices and conducting post-event reconciliation.</li></ul><p>General:</p><ul><li>Maintain reporting procedures including updating the database and the time tracking platform.</li><li>Maintain working files in order, ensuring all relevant information is filed.</li><li>Attend all Operations Meetings.</li><li>Attend familiarization and industry events as and when required.</li><li>Attend group events twice a year at the UK headquarters.</li><li>Carry out any ad hoc duties from time to time identified by management.</li></ul><p>Safety and Compliance:</p><ul><li>Preparation of event documentation, including Health & Safety checks, risk assessments, client contracts, working docs, event playbooks and post-event reports.</li><li>Ensure that all parties involved in the delivery of the projects are both familiar and<br>compliant with the Health and Safety policy and all associated policies, procedures and methods of working.</li><li>As part of our commitment to sustainability, you will be responsible for integrating sustainable and environmental practices into our work and event operations, ensuring that the requirements of our Environmental Management System are always met.</li><li>Ensure legal compliance with all activities are adhered to for regulatory requirements.</li><li>Ensure all policies and procedures relating to the business are adhered to and continuously improved and consistent.</li></ul><p>Qualifications/Essential Skills:</p><ul><li>Ideally a bachelor's degree in Event Management, Business, Marketing, or a related field.</li><li>Minimum of 3 years; experience in a fast-paced agency or similar environment, working on corporate events such as conferences, exhibitions, gala dinners and incentive trips.</li><li>Proven experience managing small to medium scale events.</li><li>Experience in building and managing delegate registration websites through Cvent or similar delegate management platform.</li><li>Knowledge of Production, AV and branding.</li><li>Good knowledge of US based hotels and venues.</li><li>Ability to manage your time and workload effectively and priorities tasks, whilst working on multiple concurrent projects.</li><li>Ability to pay close attention to detail and maintain accuracy, whilst handling a varied and demanding workload.</li><li>Proficient in all Microsoft Office Packages, particularly Microsoft Excel.</li><li>Excellent relationship and interpersonal skills.</li><li>Strong communication, with the ability to develop negotiation skills.</li><li>Good presentation skills.</li><li>A creative approach with the ability to support the conception and delivery of solutions across a wide range of industries and audiences.</li><li>Knowledge and insight to assist clients realize their vision</li><li>Professional and positive approach.</li><li>Strong in building relationships and able to communicate at all levels.</li><li>Team player but able to work on own initiative.</li><li>Ability to work evenings, weekends and holidays as needed;
